Admin Assistant – Fixed Term Contract until 31st December 2021

Southampton has been running a Covid-19 saliva testing programme in partnership between the University of Southampton, Southampton City Council and University Hospital Southampton NHS Foundation Trust (UHS). As part of the preparation for the expansion of the asymptomatic testing programme within the Hampshire and Isle of Wight region, we are recruiting staff to support this.  

We are currently recruiting for a small team of Admin Assistants to work within the Chilworth COVID-19 saliva testing programme office, to provide reception and administrative support to the management team and wider operations.

You will have a solid background of working within an administrative and/or reception role and will have an NVQ level 3 in Business Admin or an equivalent level of qualification or experience. You should have good keyboard skills to RSA II or an equivalent level and will be able to produce a range of documents using MS Office as required. You will be approachable and able to communicate well as part of a small team covering each others duties as necessary.

You will have excellent communication skills both in person and over the phone, speaking to a variety of individuals in order to be able to provide information and resolve queries. You should have a willingness to pick up and establish new procedures quickly, with a good eye for detail and a conscientious approach to your work to ensure that systems are maintained and documents produced to a high standard. Some experience of providing financial administrative support e.g. ordering using electronic systems, resolving invoice issues, would also be advantageous but not essential.

There will be the requirement to provide reception cover to the building between the hours of 0800-1800 Monday to Saturday. Therefore, there will need to be some flexibility to cover these hours and Saturday working will be covered on a rota basis.

We are looking for the successful candidate to start as soon as possible and ideally no later than mid February.
